Records that answer for you.

You'd be trusting NuAi with your members' ID documents and your club's books, so this page is deliberately specific: where your records live, how they're kept apart from everyone else's, what the database refuses to let happen to them — and what's still in progress, said plainly.

Where they live

The European Union, under contract.

Your club's records are held in the European Union (Ireland), under an executed data-processing agreement that carries the EU standard contractual clauses. We act in accordance with POPIA, and our Information Officer is registered with the Information Regulator.

The company behind NuAi is registered in South Africa. Both registration numbers sit in the footer of every page on this site — they're checkable on purpose, so check them.

Separated at the database layer.

Every record in NuAi carries the identity of the club it belongs to, and the database itself checks that identity on every read and every write. The separation isn't a filter in the app that someone could forget to apply — it's enforced beneath the app, where the records actually live. Signed in to your club, you simply never see another club's records.

Groups are the deliberate exception: a head office that owns its branches can read its own branches from one console. That sharing is switched on per group, at the group's request — never by default — and members' personal details stay out of it, with each branch's own records.

The paper trail

A slip can only be claimed once.

When a supplier slip is photographed into the books, NuAi builds an identity for that document from the numbers that make it unique — receipt and authorisation numbers, the merchant, the time and the date — six levels deep, alongside a fingerprint of the image itself.

Present the same slip again — even days later — and the numbers give it away: it's recognised and refused before it posts. And because each slip stays filed against its own entry, months later the numbers still have their paperwork.

The books hold their shape

What the database refuses to let happen.

NuAi's books are double-entry, and the rule that makes double-entry worth having is enforced where no screen can skip it: an entry whose debits don't equal its credits is refused by the database itself, whichever surface tried to write it.

Close the financial year and every entry in it locks — a locked entry refuses edits and deletions from the app. And mistakes aren't erased, they're recorded: a voided sale stays on the books, marked void, with who voided it and when. When you want your books, they export — they're yours to take, including if you leave.

The most sensitive thing you hold

Members' IDs, read on their own phones.

Enrolment asks a new member to photograph their ID on their own phone, and the reading happens right there, on the device — the document is never sent away to a third-party service to be read.

What the club then holds — the photos and details that make up the member's verification record — lives in the EU store with everything else, under the same agreement. And the line this page carried while the work was unfinished can now be said in the past tense: member erasure runs end-to-end. One approval erases the member's details everywhere the system holds them — profile, membership, ID photos, scan location history, message content — and disables and anonymises their sign-in. ID images are deliberately excluded from the off-site backup, so an erasure reaches every copy. Purchase records are kept as the law requires, no longer linked to an identifiable person.

An operator agreement for clubs is in draft with an attorney now, with a privacy policy and terms alongside it. They'll be published on this site when they're signed — not before. Until then, the register above is the honest state of things, and we'll walk you through the drafts if you ask.
